Continuous Payroll Processing Frequently Asked Questions (FAQ)

Continuous Payroll Processing introduces a streamlined payroll experience designed to reduce manual steps and improve efficiency. Instead of following a step-by-step checklist, payroll tasks now occur automatically in the background, allowing users to focus only on items that require attention. This article outlines key changes, benefits, and answers to common questions.

Processing Changes Overview

How does the new experience work?

For a detailed walkthrough of the experience, please watch the Payroll Processing Experience Walkthrough

What are the key features of the new processing experience?

The payroll processing experience has been redesigned to simplify the workflow. Many manual processing steps now happen automatically in the background, allowing you to focus only on items that require your attention. Some key benefits:

  • Fewer manual processing steps
  • Improved payroll accuracy
  • Earlier visibility into payroll issues
  • Reduced last-minute processing
  • Automatic recalculations when approved time changes
  • Automatic recalculations when approved time changes

Why doesn't payroll feel like a step-by-step checklist anymore?

Continuous Payroll Processing is designed around an ongoing workflow. Instead of completing one step after another, you can resolve issues as they occur throughout the pay period.

Is the navigation changing?

No, the navigation is not changing. You'll still access timesheets from Team > Payroll > Process Timesheets. The workflow inside the page has changed, but how you access it has not.

Processing Timesheets Overview

Why does the Process Timesheets page look so different?

The page has been redesigned to reduce clutter. Instead of displaying every processing step, the page now primarily displays only the items that require action, making it easier to identify outstanding issues.

The new experience only displays items requiring action. Once an issue is resolved, it automatically disappears from the list. The left panel now acts as a filter. Selecting an item filters your view to only employees with that specific issue, such as Missing Punches or Unapproved Timesheets.

For example:

  • Unapproved timesheets

  • Missing payroll information

  • Payroll calculation discrepancies

  • Time and attendance exceptions

  • Approved Expense Reports

  • Historical Timesheet Corrections

  • Retro Pay from previous Pay Periods

  • Other payroll conditions requiring review

How do I fix a missing punch?

Select View Details, enter the missing punch, and save. Once corrected, the issue is removed automatically. If the missing punch was also causing payroll calculation errors, those errors are cleared automatically as well.

What does "Remind Managers" do?

The Remind Managers feature sends reminder emails to managers with outstanding approvals, eliminating the need to send manual reminder emails.

Why did fixing one issue remove multiple alerts?

Some issues are related. For example, correcting a missing punch may also resolve payroll calculation errors that were caused by that missing punch.

Where did the "Reapply Pay Calculations" button go?

You no longer need to manually reapply pay calculations. The system now performs this automatically in the background.

Where did "Process Timesheets" go?

Manual timesheet processing is no longer required. The system continuously processes timesheets automatically behind the scenes. If you need to manually reprocess timesheets, you can do so using the button on the top right.

Do I still need to lock the pay period?

Yes. Locking the pay period remains an important final step. Be sure to lock the pay period before finalizing payroll.

Processing Payroll Overview

What changed in Payroll Processing?

The experience has shifted from a checklist workflow to a central workspace. Most payroll work now revolves around the Pay Statements page rather than moving through a series of sequential steps. All regular actions are now buttons on the top right of the screen.

How do I initiate payroll, add new pay statements, or import payroll data?

Initiating payroll, adding new pay statements, and importing payroll data are now all kept in the same location, using the button to Import / add pay statements on the top right of the screen:

This pop-up includes three tabs.

  • Add pay statement: This tab will allow you to add pay statements for all employees on the pay period, or even one employee at a time, using the different checkboxes.
  • Import: This tab will allow you to import your regular payroll data import file
  • Void pay statement: This tab will allow you to void multiple pay statements at once for the same employee.

Where do I add a manual pay statement?

Manual pay statements are now created from the Add Pay Statements tab. This pop-up replaces part of the previous initiation workflow.

Can I void multiple pay statements at once?

Yes. The new experience allows multiple pay statements to be selected and voided together, making corrections faster.

Do I still need to manually sync time to payroll?

Usually, no. Time now syncs automatically as part of Continuous Payroll Processing. If you make last-minute edits and want those changes reflected immediately, you can still manually re-sync time using the Sync Time button on the top right.

Where can I preview my payroll reports?

To preview your payroll reports, click the View supporting reports button:

The support reports pop-up has reports grouped in three separate tabs:

  • Pre-processing reports: includes employee maintenance reports, accrual balances, and the pre-check report
  • Processing reports: includes your regular alerts, warnings, and error reports
  • Review your data reports: includes your regular audit, comparison, recap & funding, registers, etc

How do I close and finalize my payroll?

To close your payroll, use the close payroll button on the top right of the screen. Once your payroll is closed, you can use this same button to reopen, or use the arrow to finalize and deliver.
