Making Changes After Submitting Benefit Enrollment

How to help an employee make changes to their elections after they have submitted their benefit plan enrollment

Overview

If an employee needs to make changes to their benefit elections after submitting their Open Enrollment enrollment, the steps required will depend on the current status of their enrollment and whether the enrollment period is over.

 

If the Enrollment Request is still Pending Approval

If the enrollment request submission has not yet been approved, the enrollment request can be rejected to allow the employee to make changes and re-submit.

  1. Navigation: Team > Benefits > Enrollment Requests > Change Request Summary
  2. Reject the enrollment
  3. Have the employee update and resubmit their enrollment for approval

If the open enrollment or new hire enrollment period is over, this can also be submitted by them by either extending open enrollment dates or using a life change event, as long as they choose the correct plan year effective dates. 

  • New Hires near Plan Year Renewal Options 
    • Life Change Event: The employee can complete a life change event and select January 1 as the effective date. As long as the correct date is selected, the employee can enroll in the appropriate plans without any additional profile changes.
    • Open Enrollment: Alternatively, you can configure a temporary benefit profile that allows the employee to complete Open Enrollment for the upcoming plan year without having to select the correct effective date through a life change event.

 

 

If the Enrollment Request was Already Approved

If the employee's enrollment request submission has already been approved, their existing benefit plans must be removed before they can complete enrollment again using the same plan year effective dates.

  1. Navigate to the employee's benefit plan election information in their profile
  2. Delete all benefit plans associated with this enrollment request so that a new submission can happen using the correct start date
  3. Because the employee already submitted this enrollment type on their profile, they will need to either submit a life change event, or a separate temporary benefit profile can be attached to them to allow them to submit a new open enrollment

  • Options for Additional Submissions
    • Life Change Event: The employee can complete a life change event and select January 1 as the effective date. As long as the correct date is selected, the employee can enroll in the appropriate plans without any additional profile changes.
    • Open Enrollment: Alternatively, you can configure a temporary benefit profile that allows the employee to complete Open Enrollment for the upcoming plan year without having to select the correct effective date through a life change event.
