How to Enable the "Login As Employee" Feature

Information on how to enable to "login as employee" feature.

Within the system, you can allow managers and administrators to sign in as an employee so they can view and experience the employee's session. When a user selects the Login As Employee option, a new tab will be opened and they will be logged in as the selected employee. In order to log in as another employee a user must have group permissions to view that employee's data.

 

WARNING:  Enabling this feature grants a user the ability to impersonate any employee account, inheriting all associated permissions and access controls of the selected role. i.e., if a user assumes the identity of a Company Admin, they will obtain full administrative priveleges, including the ability to view and modify all user profiles and account-level settings.

Prior to activation, it is strongly advised to validate that only authorized personnel have access to this functionality, as it introduces elevated access across the system.

To turn this feature on for your company, use the following steps.

  1. Navigate to the Menu > Settings > Global Setup > Company Setup.
  2. Select the "Login Config" tab.
  3. Locate the "Login As Employee" window.  If you do not see this option, select "Edit Tabs" and add the "Login As Employee"  window.
  4. Enable the checkbox next to Enable Login as Employee and add a selected Admin.
  5. Navigate to Employee Information report by selecting the Team icon > My Team > Employee Information.
  6. Add the column "Button: Login As Employee."

Login As Employee Audit History

Three columns are available to all Audit Reports: Shadow User: Username, Shadow User: First Name, Shadow User: Last Name. If someone makes a data change while logged in as another person these columns will reflect the username, first name, and last name of the user who has logged in as an employee.

 

Best Practices:  When using this feature, it's important NOT to make any changes when logging in as another user. The best practice would be to log in only to see what the selected user is experiencing and help troubleshoot any issues the user has reported.
