Best Practices for Managing Pay Calculation 2.0 Profiles

The Fuse system uses pay calculation profiles to interpret timesheet entries into specific categories for reporting or payroll data. This article will discuss our tried-and-true best practices.

Best Practices

Pay Calculations are a core piece of payroll processing. They interpret raw data from timesheet entries and punches, categorizing it for accurate payroll. Therefore, extreme caution must be exercised when making any changes to Pay Calculation profiles to avoid errors in employee pay.

Please make sure you always follow our Best Practices when updating pay calculation profiles:

  • Please reach out to support@fuseworkforce.com for any help you need
  • Always use Effective Dating (see below)
  • Do not delete steps from any pay calculation profile. They can be activated or deactivated by using the checkbox on each step.
  • After making changes, you can reapply these rules to a group of individuals using the Reapply Pay Calculations at the top of the screen where you enter your effective dates (see below for more information on effective dating)
  • Saving any timesheet will reapply the pay calculation profile on that timesheet.

The Importance of Effective Dates

Using effective dates in Pay Calculation 2.0 profiles is critical for:

  • Retaining Old Configuration: Ensures historical data is accurately processed and audited by preserving past settings.
  • Seamless Transitions: Automates the implementation of new policies on a specified date, eliminating manual intervention.
  • Testing New Configurations: Allows for thorough testing of new rules in a separate profile with a future effective date, preventing disruption to active payroll.

How to Add a New Effective Dated Pay Calculation 2.0 Profile

  1. Navigate to Settings > Profiles/Policies > Pay Calculations
  2. Click the "edit" (pencil) icon next to the appropriate profile.
  3. In the "Schedule" box, click the plus sign next to the most recent line, then enter a date from which the new profile will be effective, then click Save.
  4. Once saved, an edit button will show next to the new line. Configuration changes can be made and tested while retaining all previous settings.
