Using Service Accounts for Integrations

How to Set up a Service Account in the Fuse system to Use for Middleware File Exports or Rest API

Overview

If you have set up user accounts for integrations using the API, you may want to designate these accounts as Service Accounts. A Service Account will no longer allow manual logins with usernames and passwords; these are only to be used for integrations.

Current users can be migrated to Service Accounts, but the migration will be permanent; you cannot change a Service Account back to a regular account for login.

How to Migrate to a Service Account

  1. Go to Settings > Global Setup > Company Setup > Login Config Tab
  2. If you do not see the Service Accounts widget, add this widget to your screen using the Edit Tabs link.
  3. Select Add Service Account
  4. To migrate an existing account to a service account, type in the current username. 
    1. If the username is found, you will see a message confirming that An account with this username already exists, as well as the following pop-up warning:
    2. Migrated accounts will no longer be accessible through reports and will no longer have a profile. The accounts will also not be allowed to log in and can only be used for integration purposes. Once the account has been migrated, it cannot be reversed.
  5. Choose the Account Group using the Magnifying glass, and mark the edit checkbox if the Service Account should have edit access to that group of employees.
  6. Click Save and you will receive an additional migration confirmation: Migrated accounts will no longer be accessible through reports and will no longer have a profile. The accounts will also not be allowed to log in and can only be used for integration purposes. Once the account has been migrated, it cannot be reversed. Are you sure you want to continue?
  7. Click Ok to complete the migration.

How to Setup a New Service Account

  1. Go to Settings > Global Setup > Company Setup > Login Config Tab
  2. If you do not see the Service Accounts widget, add this widget to your screen using the Edit Tabs link.
  3. Select Add Service Account
  4. Enter a username for the service account
  5. Enter a Password for the service account.  It must be 15 Characters with upper case letter, lower case letter, number and special character (example:  ReportUser12345!).
  6. Select the Security Profile for the report user from the drop-down.
  7. Select the paper with magnifying glass to the right of Account Groups.
  8. Select the check box next to All Company Employees.
  9. Choose Select on the bottom right of the box.
  10. Select Save in the bottom right of the box.

Locking or Editing Service Account Data

  1. Go to Settings > Global Setup > Company Setup > Login Config Tab
  2. If you do not see the Service Accounts widget, add this widget to your screen using the Edit Tabs link.
  3. Click the pencil icon next to the Service Account.
  4. On the popup, you will be able to update passwords, security profiles, account groups, or even lock the Service Account.
  5. Click Save in the bottom right of the box.
